Job Description

Reporting to Executive Director of the Foundation, the Development Assistant performs, as well as oversees, a wide variety of administrative and program support activities for the Foundation Office.  To meet the growing needs of the Foundation the Development Assistant provides administrative support to the Foundation Director and will be responsible for database management (Raiser’s Edge), financial reporting, and other duties as assigned.

  1. Administers the SCCC Foundation office: answering phone calls, greeting visitors, scheduling meetings and appointments, maintaining and ordering office supplies, and administering daily operations of the office, as needed. Prepares requisitions, invoices, orders, and reminders, as needed.
  2. Administers all aspects of Raiser’s Edge (RE) database including data input, output, updates, and corrections. Records all gifts/pledges (online, event, mail) into RE and sends donor acknowledgement letters within one week of receipt.  Generates pledge reminders, as needed.
  3. Works in partnership with Foundation Director to plan and implement all Foundation events, including fundraising, cultivation, relationship building, and stewardship gatherings. Maintains campaign/event records, event finances, foundation income, budget and expenditures, campaign/event attendance and response records, tracks sponsorships, sends reminder notices.
  4. Assists Foundation Director with the Foundation Board of Directors, including b-monthly meetings, regular communications, scheduling, etc.
  5. Coordinates the production and distributions of Foundation materials, appeals, and communications with College Marketing Department and external vendors.
  6. Administers data across platforms: RE, Constant Contact, Jenzabar, Greater Giving, AwardSpring and others (as identified). Serve as the liaison with the College Information Technology Office to ensure operations of all platforms.
  7. Maintains social media platforms for the Foundation, including LinkedIn, Facebook and Instagram to provide communications and updates to constituents.
  8. Assists the Foundation’s student scholarship program at SCCC through promoting scholarships, maintaining the AwardSpring application portal, administering the application review process, and coordinating awards with the Financial Aid, Bursars Office, and students.
  9. Produces monthly financial reports based on receipt of gifts and pledges and reconciles with College Finance Office.
  10. Gathers stories and information to be used in the Foundation annual report, website, and donor communications.
  11. Coordinates annual audit, providing timely assistance and information to both internal and external auditors. Supports preparation of Form 990 and associated documents.
  12. Supports established Foundation Workplan.
  13. Performs other duties as assigned.
  14. Participates on College shared governance committees.

Required Skills/Qualifications:

  1. Proficiency in Microsoft Office Suite.
  2. Ability to create professional looking documents.
  3. Excellent writing and verbal communication skills.
  4. Understanding of financial reporting and budgeting.
  5. Schedule flexibility to attend evening and weekend events, as appropriate.

Preferred Skills/Qualifications:

  1. Experience in donor identification, cultivation, solicitation and stewardship.
  2. Prior experience in higher education advancement.
  3. Experience in managing Raiser’s Edge database, or similar fundraising software.
  4. Experience with Constant Contact System, or similar platform, for e-mail posts.
  5. Experience with Canva, or similar platform, for social media posts and e-mail.
  6. Experience with AwardSpring, or similar scholarship management platform.
  7. Experience with Greater Giving, or similar online giving platform.
  8. Experience with Umbraco, or similar website management platform.

Salary:  $19.00 - $21.00 per hour
